HR Coordinator Administrative AssistantWe are looking for an HR Coordinator/Administrative Assistant to join our team!

This position provides administrative support for Human Resources, Faculty and Quality Assurance activities.

Human Resources

  • Update human resource information system (HRIS) records and generate reports from the database as needed.
  • Maintain company organizational chart and general HR forms.
  • Coordinate recruiting efforts: post job openings internally and externally, track applicant activity in HRIS, schedule interviews, respond to applicant inquiries and follow up with candidates throughout the selection process as needed.
  • Initiate background check verification and assist with reference checks as needed.
  • Assist with new hire onboarding tasks.
  • Confirm work eligibility via E-Verify.
  • Serve as a back-up for administration of health and welfare plans, including enrollments, changes, and terminations.
  • Assist with annual open enrollment including communication of changes to employees, distribution of plan summary materials and required notices. Help process enrollment changes within deadlines.
  • Process employment verifications as requested.
  • Respond to employee inquiries.
  • Assist with employee engagement initiatives.Faculty
    • Coordinate CPC calendar for the Chief Science Officer. Assist with scheduling meetings and general administrative tasks.
    • Maintain faculty publication tracker.
    • Attend weekly faculty meetings.
    • Coordinate and assist with travel arrangements for faculty and submit appropriate paperwork for reimbursement as needed.
    • Arrange conference calls and meetings, including catering, venue, scheduling, etc.
    • Assist CPC faculty with administrative needs as needed.
    • Perform general administrative tasks such as document preparation, filing, copying, scanning, and faxing.
    • Other duties as required.Quality Assurance
      • Initiate annual review of CVs within Document Management System.
      • Convert new hire CVs into CPC template for upload to Document Management System.
      • Upload job descriptions for new hires and process updates resulting from job title changes in Document Management System.
      • Upload new hire documents, training verification, certificates, licenses, etc. in Document Management System.
      • Maintain employee one-off training files in Document Management System.Qualifications
        • High School Diploma or GED
        • Minimum of 2 years relevant experience; prior HR experience preferred.
        • Excellent organizational skills and verbal/written communication skills.
        • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
        • Good attention to detail.
        • Ability to manage and prioritize multiple competing demands while ensuring confidentiality and timely completion.
        • Ability to work independently and as a member of a team.
        • Ability to manage conflicts and resolve problems effectively.Note: Viable applicants will be required to pass a background and education verification check.

          Targeted Compensation: $19.95 - $24.04/hr
