Job Description:

Position Title: Program Coordinator Department: Learning/ Buell Children's Museum Reports to: CEO / Director of Learning Status: Exempt, Full-time*, 40-45 hours per week Schedule: This position covers various shifts seven days a week. Pay Range: $30,000-$32,000JOB SUMMARYThe Program Coordinator oversees the Educational Class offerings and programs put on by the Learning Department. In coordination with the Director of Learning, this person also participates in the development, management, implementation, and evaluation of the programming offered by the Learning Department as well as overseeing the organization and facilitation of all education classes, camps, and special events put on by the Learning Department.EXHIBITS & PROGRAMSOversees the coordination of all tours and related programming including: scheduling tour groups, volunteers/docents and tour workshop instructors; creating tour schedules and rotations; disseminating pre- and post-tour information (including thank you notes); * Works in conjunction with the Marketing and Development Department to approve flyers and other marketing and outreach materials relating to tours and field trip programming, education classes and arts-related experiences, as well as keeping online class information and registrations up-to-date, and online information on tour packages accurate and up-to-date; * Works with Director of Learning to plan, prepare, implement and supervise educational programming (including: School of Arts Classes, Summer Art Camps, and Friday Arts Academy); * Acts as the default "On-Site Manager"-- - (OSM) while on campus to ensure supervisor coverage in the BCM and educational programming spaces, as needed; * Schedules and supervises Education Class Instructors and develops a pool of instructors to pull from for various classes offered throughout the year; * Oversees the creation of weekly class schedules and communicates set-up and access needs to the Facilities and Maintenance Department to ensure clear understanding of education class occurrences on the campus; * Works with Director of Learning and Operations Manager to manage the planning, preparation, and implementation of the multiple exhibitions put on in the BCM throughout the year - in addition to the seasonal programming put on inside the museum; * Utilizes website and other software programs to efficiently schedule events and complete reports; * Ensures that Education Class Instructors are paid in a timely manner by: adhering to pay calendar, generating check requests for Director of Learning to approve, and turning in said requests to the Accounting Department;CUSTOMER SERVICE * Greets and helps students (as well as parents and guardians of young students), in person and via phone and email, by assisting with inquiries regarding class descriptions, locations and registrations -as well as special events - while maintaining a professional and friendly attitude; * Receives all incoming calls in a professional, pleasant manner, transfers calls when necessary to the appropriate departments, and responds to voicemails and emails throughout the day; * Interacts with field trip students and helps facilitate group tours as appropriate; * Works with all departments to maintain clear communication throughout the campus;OTHER * Attends team meetings; * Participates in Arts Center events, including working events such as Festival Fridays or the Anniversary Gala as needed; * Is aware of the Sangre de Cristo Arts Center emergency plan that includes evacuation of Buell Children's Museum and Art Studio spaces;OTHER * Attends monthly staff meetings; * Participates as a member of the Programming Committee; * Is aware of the Sangre de Cristo Arts Center emergency plan that includes evacuation of Buell Children's Museum and Helen T.
