POSITION SUMMARY:Responsible for performing duties which allow all office staff to be efficient by providing those supporting services that will save time and provide organization of the work. ESSENTIAL JOB FUNCTIONS: Assist training department with miscellaneous admin duties to include, but not limited to: o Assemble and ship orientation folderso Assist with room set upo Input rosters in the LMS systemo Assist in orientation preparation Assist marketing department with miscellaneous admin duties to include, but not limited to: o Assist in sending out holiday gift cards and giftso Manage SharePoint calendaro Coordinate offsite meetingso Assist in site signage coordinationo Assist in assessment and maintenance of memberships and associationso Salesforce supporto Assist with various committees (Belief Builders, United Way, etc.) Assist in travel arrangements for all employees Assist in creation and management of organizational charts Maintain employee lists and distribute employee years of service awards on a quarterly basis Back-up to the front Office Support Coordinator for the following: o Receive all incoming telephone calls for the office, forward calls to the appropriate personnel and/or takes messageso Greet clients and visitors and direct them to the appropriate personnelo Direct callers for fax number information to the appropriate areao Answer inquiries for the general publico Communicate messages to the appropriate parties in a timely mannero Collect, open, sort, distribute and process all incoming and outgoing mail or packageso Stamp all invoices and payroll packageso Use and maintain all postage scales and meters to weigh and affix postageo Use UPS Online Worldship, Fed Ex and other carriers if necessary to send out all packageso Know where/how to locate all personnel in the office/shop/fieldo Address and ship project plans and documentso Order, copy, and return planso Ensure new employees have the supplies necessary to start performing their jobs placed in their work space. This includes working with Marketing, HR and the Executive Assistant to order business cards, office/cubicle name plate, etc. o Assist with special projects as needed or requested from HR, AP, PM'so Maintain inventory and order office supplies, equipment and Wanzek formso Type memos, correspondence, reports and other documentso Other administrative duties as assigned in order to support general office operationso Perform general housekeeping organization for lobby and break room Other miscellaneous administrative duties as assigned Qualifications :EDUCATION AND WORK EXPERIENCE REQUIREMENTS: Associate's degree (A. A.) or equivalent Minimum of 3 years of experience in office support KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: Take reasonable care of your own and others' health and safety and of those who may be affected by the day-to-day delivery of this role by taking personal responsibility for working toward Wanzek's Zero Injury principles Proficiency in Microsoft Office Products required Ability to prioritize and multi-task Ability to meet deadlines Ability to carry out instructions provided in written, oral or diagram form Wanzek Construction offers an extensive and competitive benefit package that includes, but not limited to, medical, dental, vision, life insurance, 401(k), paid time off, and paid holidays.
